Practice Policies

Thank you for choosing Deep Waters Psychiatry & Wellness.
To provide safe, consistent, and ethical care, the following practice policies apply to all patients.

  • Appointment Length

    • New evaluations: 60–90 minutes

    • Follow-up visits: 20–55 minutes

    Scheduling

    Appointments can be scheduled through the patient portal once established.
    New patients may request an appointment through the Get Started page

  • I reserve your appointment time exclusively for you.

    • Appointments must be canceled or rescheduled at least 24 hours in advance.

    • Cancellations made with less than 24 hours' notice, and missed appointments, may incur a fee.

    Repeated missed appointments may result in discontinuation from the practice.

  • Effective communication is an important part of high-quality psychiatric care. As a solo provider, I manage all patient communication personally to ensure consistency, accuracy, and continuity of care. The guidelines below help maintain appropriate boundaries and ensure that all patients receive timely, thoughtful, and clinically appropriate support.

    Primary Method of Communication

    The patient portal is the required method for all non-urgent questions, updates, and requests.
    This keeps communication secure, organized, and part of your medical record.

    Emails, text messages, or social media messages are not used for clinical communication.

    Response Time

    I respond personally to patient messages within 1–2 business days.
    Messages received on evenings, weekends, or holidays will be addressed on the next business day. If your concern requires immediate attention, please schedule a follow-up appointment.

    Questions Requiring an Appointment

    While brief clarifying questions are welcome, some concerns require more in-depth discussion.
    If communication becomes frequent, complex, or requires significant clinical decision-making, you will be asked to schedule an appointment.

    Examples include:

    • Multiple messages about medication changes

    • Ongoing symptom updates

    • Requests requiring extensive review of history or records

    • Therapy-related questions

    • Situations involving safety assessment or risk evaluation

    This ensures your concerns receive the time and clinical attention they deserve.

    Medication Refills

    Routine medication refills should be requested through the patient portal. Please allow 2–3 business days for processing.

    Refills may require a scheduled appointment if:

    • You are overdue for a follow-up

    • There are concerns about medication safety

    • Controlled substances are involved

    Urgent or Crisis Situations

    I do not provide crisis or emergency services. If you are experiencing a mental health crisis or a life-threatening emergency, please contact:

    • 911

    • 988 (Suicide & Crisis Lifeline)

    • Your nearest emergency room

    Portal messages are not monitored for emergencies.

  • Telehealth is available to patients located in Colorado.

    During telehealth visits, patients must:

    • Be physically in Colorado

    • Have a stable internet connection

    • Remain in a private, confidential environment

    • Keep video on throughout the visit

  • Current Payment Structure

    I am currently a cash-pay practice, and payment is due at the time of service.
    All payments are processed securely through Tebra, which requires:

    • A credit card on file

    • A credit card processing fee, applied by Tebra (not by my practice)

    I can provide a superbill for patients wishing to pursue out-of-network reimbursement through their insurance provider.

    Insurance Credentialing

    I am actively working through the credentialing process and will begin accepting insurance in the near future. This includes:

    • Aetna

    • Anthem Blue Cross Blue Shield

    • Cigna

    • UnitedHealthcare / Optum

    • UMR (including many UCHealth employee plans)

    • Colorado Medicaid (Health First Colorado)

    I will not be accepting Medicare.

    Once credentialing is complete, insurance billing will be available for eligible patients

  • Controlled substances are prescribed with caution and only when clinically appropriate.

    • Benzodiazepines: May be prescribed short-term only

    • Long-term benzodiazepine therapy is not provided

    • Buprenorphine: Not prescribed for opioid use disorder

    • OUD Support: Alternative, non-buprenorphine approaches may be offered when appropriate

    Controlled substances require:

    • Regular follow-up

    • Adherence to treatment recommendations

    • Monitoring for safety

  • Supplements may play a meaningful role in treatment when deficiencies or biological imbalances contribute to symptoms.

    • I do not sell or dispense supplements directly

    • I do not profit from supplement use

    • Fullscript access is provided solely for patient convenience and discounted pricing

    All supplement recommendations are evidence-informed and optional.

  • Your information is protected under HIPAA.
    I do not release information without your written consent, except in situations where disclosure is legally required for safety.
